Shipping Policy

Highland Trail Club partners directly with trusted outdoor brands and manufacturers to offer a carefully curated selection of overland, camping, and adventure gear.

Unlike traditional retailers, we do not warehouse the majority of our products. Instead, most orders are fulfilled and shipped directly from the manufacturer or an authorized distribution facility. This allows us to offer a broader selection of products while reducing unnecessary handling and shipping delays.

Although your order may ship directly from one of our brand partners, Highland Trail Club remains your primary point of contact throughout the purchasing process. If you have any questions regarding your order, shipping, or delivery, our team is here to help.

Order Processing

Processing times vary by manufacturer and product availability.

Most in-stock orders are processed within 1–3 business days, although certain products may require additional processing time due to inventory availability, seasonal demand, manufacturer production schedules, or order volume.

Orders are processed Monday through Friday, excluding weekends and recognized holidays.

Please note that processing time and shipping transit time are separate. Processing refers to the time required to prepare your order for shipment, while transit time begins once the carrier has received your shipment.

Once your order ships, you will receive a shipping confirmation email containing tracking information, when available.

Manufacturer Direct Shipping

The majority of products sold by Highland Trail Club ship directly from the manufacturer.

Because we partner with multiple brands, products may ship from different warehouses throughout the United States.

As a result:

  • Shipping carriers may vary.
  • Processing times may vary by manufacturer.
  • Tracking information may become available at different times.
  • Products purchased in the same order may ship separately.
  • Items may arrive on different days.

This is a normal part of our fulfillment process and helps ensure products are delivered from the warehouse best positioned to fulfill your order.

Inventory Availability

We make every effort to maintain accurate inventory by synchronizing inventory with our manufacturing partners.

However, because inventory changes in real time, occasional discrepancies may occur.

If an item becomes unavailable after your order has been placed, Highland Trail Club will promptly contact you to discuss available options, which may include:

  • Waiting for the next available inventory.
  • Selecting an alternative product.
  • Receiving a full refund for the unavailable item.

We will never substitute a product without your approval.

Shipping Methods

Shipping methods vary depending on the product purchased.

Orders may be shipped using:

  • UPS
  • FedEx
  • USPS
  • Regional parcel carriers
  • Less-Than-Truckload (LTL) freight carriers

The carrier used for your shipment is determined by the manufacturer, warehouse location, product size, destination, and service availability.

Multiple Shipments

Orders containing products from multiple manufacturers may arrive in separate shipments.

Each manufacturer fulfills its own products independently. As a result:

  • Items may ship on different dates.
  • Different carriers may be used.
  • Separate tracking numbers may be provided.
  • Deliveries may occur on different days.

This does not necessarily indicate that part of your order is missing.

Oversized & Rooftop Tent Freight Deliveries

Large products such as rooftop tents, awnings, roof racks, and other oversized items are typically shipped via Less-Than-Truckload (LTL) freight carriers.

Once a freight shipment has been picked up by the carrier, typical transit time is approximately 5–7 business days, depending on destination, carrier routing, and regional service availability. Transit times are estimates only and are not guaranteed.

Freight deliveries generally include:

  • Delivery by scheduled appointment.
  • Curbside delivery service.
  • Signature upon delivery.
  • Delivery to the shipping address provided at checkout.

Please note:

  • Someone 18 years of age or older should be available to accept delivery.
  • Freight carriers are generally unable to deliver inside homes, garages, or buildings.
  • Additional charges may apply for remote locations, limited-access locations, address corrections, redelivery requests, or missed delivery appointments.
  • Certain rural or difficult-to-access locations may require additional transit time.

Inspecting Your Freight Shipment

Before signing for any freight delivery, carefully inspect both the packaging and the product for visible damage.

If visible damage is present:

  • Photograph the shipment before moving it.
  • Note all damage on the delivery receipt before signing.
  • Refuse delivery if the damage appears significant.
  • Contact Highland Trail Club immediately.

If concealed damage is discovered after delivery:

  • Contact us as soon as possible.
  • Retain all original packaging.
  • Do not dispose of the shipping materials until the claim has been resolved.

Failure to inspect a shipment before signing or failure to retain packaging may affect the outcome of a freight claim.

Shipping Delays

While we work closely with our manufacturing partners and shipping carriers to provide accurate delivery estimates, shipping dates cannot be guaranteed.

Delays may occur due to circumstances outside of Highland Trail Club's control, including but not limited to:

  • Severe weather.
  • Natural disasters.
  • Carrier delays.
  • Manufacturer delays.
  • Inventory shortages.
  • High seasonal demand.
  • Labor disruptions.
  • Government actions or other force majeure events.

Highland Trail Club is not responsible for delays caused by carriers, manufacturers, weather events, or other circumstances beyond our reasonable control.

We recommend waiting until your order has been successfully delivered before scheduling installation, travel, vacations, camping trips, or other time-sensitive activities.

Address Changes

Please verify your shipping address before completing your order. If you need to update your shipping address, contact us immediately.

Once an order has entered processing or has shipped, address changes may no longer be possible and may result in additional carrier fees, including reconsignment, rerouting, storage, or redelivery charges. Any such fees are the responsibility of the customer.

Original shipping charges, expedited shipping charges, freight charges, installation costs, labor costs, and similar services are non-refundable unless required by law or the return is the result of our error.

Lost or Missing Shipments

If your shipment appears to be lost or has not arrived within a reasonable timeframe after the estimated delivery window, please contact Highland Trail Club.

We will work directly with the manufacturer and shipping carrier to investigate the shipment and determine the appropriate resolution.

Carrier investigations may require several business days before replacement shipments or claims can be processed.

Customer Responsibilities

By placing an order with Highland Trail Club, you agree to:

  • Provide accurate shipping and contact information.
  • Monitor shipment tracking information.
  • Be available for scheduled freight delivery appointments.
  • Inspect freight shipments before signing for delivery.
  • Retain all original packaging if reporting shipping damage.
  • Contact Highland Trail Club promptly if any shipping issue arises.

Failure to follow these responsibilities may delay or limit our ability to assist with shipping claims.
